Project Management

Information Technology Services - Project Management Office (PMO)

Problem

The PMO needed to address several challenges, including the desire for a safer, more secure AI-driven solution for sensitive projects (e.g., HIPAA compliance) and the need for tools to aid in professional development. Team members, like Mallory Kwiatkowski, sought to enhance their skills and knowledge by leveraging outside resources and comparing various Generative AI (GenAI) tools, all while maintaining security and cost-effectiveness.

Audience

The primary audience for the Maizey projects includes ITS PMO staff, especially those involved in sensitive projects requiring HIPAA compliance. Additionally, the audience extends to other Project Managment professionals who use AI for professional development, seeking to improve efficiency and access to diverse resources without incurring additional costs.

Outcome/Impact

  • Increased Efficiency: Significant time savings and improved productivity for PMO staff by streamlining brainstorming, content creation, and task-specific activities like drafting documents and agendas.
  • Enhanced Professional Development: Provided precise answers and global expert knowledge, aiding in professional growth and ensuring staff remain up-to-date with diverse resources.
  • Improved Communication and Management: Successfully drafted high-quality communications, such as emails, and functioned as a valuable project management coach, enhancing task organization and execution.
  • Knowledge Enrichment and Risk Assessment: Enriched the quality of PMO outputs with diverse perspectives and facilitated comprehensive project planning and risk assessment, identifying potential issues and solutions.
