Human Subject Incentives Program (Treasurer’s Office)

Problem

The Human Subject Incentives Program (HSIP), a sub-unit of the Treasurer’s Office, is responsible for facilitating incentive payments for study participation when it involves U-M funds. The HSIP team receives an overwhelming number e of repetitive inquiries regarding subject payments, policy clarifications, and general program information. Without an automated process to address these inquiries, HSIP staff needed to manually answer questions, consuming hundreds of hours per year and creating administrative bottlenecks during high-volume periods.

Audience

Research study teams and administrative staff who interface with the HSIP system to manage subject incentive payments.

Outcome/Impact

To address this need for streamlining routine inquiries, the HSIP team has created an AI chatbot with U-M Maizey and have already greatly benefited from this resource:

  • The HSIP chatbot processes approximately 9500 sentences worth of questions (or 2400 emails) per month.

  • In turn saving over 500 hours worth of work for the HSIP team per year.
