SPG Policy Review Maizey

Problem

 Instead of searching through U-M’s standard practice guides (SPGs) on U-M’s HR website, ITS trained a Maizey to identify existing policies through plain text question prompting. The department’s goal was to simplify the process of searching for and accessing SPGs to save time and reduce the difficulty of finding relevant policies.

Audience

This AI tool is primarily intended for use by U-M’s ITS staff, especially new employees who aren’t as familiar with the department’s HR policies.

Outcome/Impact

  • Increased accessibility of policy information
    New hires are more quickly acclimated to new workplace policies.
  • Enhanced Productivity
    Decreased time spent manually searching that typically interrupts higher priority tasks.
  • Precursor to Wider Applications
    Currently only being used internally, but could be applied to other departments.
  • Improved Reliability
    Each question is returned with source material, allowing employees to cross check questions that regard more than one policy.
